Privacy Policy

This Privacy Policy explains how InvoiceNow (“we”, “us”) collects, uses, stores and shares information when you use our invoicing platform. We keep it plain-spoken and short. If anything is unclear, reach out using the contact details at the end.

1. Information we collect

We collect the information you give us and a small amount generated automatically as you use the product:

  • Account & organization data — your name, email address, password hash, organization name, business address and tax identifiers.
  • Invoicing content — invoices, customers, line items, products, templates and the amounts and dates you enter.
  • Billing data — plan, subscription status and payment metadata processed by our payment provider (we never store full card numbers).
  • Usage & device data — IP address, browser type, pages viewed and activity logs used for security and troubleshooting.

2. How we use it

We use the information above only to run and improve the service. Specifically to:

  • Create, send, track and store your invoices and related records.
  • Authenticate you and keep your account and organization secure.
  • Process subscriptions, plan changes and billing.
  • Provide support, send service notifications and respond to your requests.
  • Detect abuse, prevent fraud and meet our legal obligations.

We do not sell your personal data, and we do not use invoice content for advertising.

3. Data storage & security

Your data is encrypted in transit (TLS) and at rest. Access to production systems is restricted to a small number of authorized staff and is logged.

InvoiceNow is multi-tenant, and every record is scoped to the organization that owns it. We enforce row-level isolation per organization at the database layer, so queries can only ever return rows belonging to your organization. There is no shared table state between tenants, and one organization can never read or write another organization’s invoices, customers or settings.

We keep regular encrypted backups and monitor for unusual activity. No system is perfectly secure, so we also ask that you use a strong password and keep your credentials private.

4. Sharing

We share personal data only with the parties needed to operate the service:

  • Sub-processors — hosting, database, email delivery and payment providers acting on our instructions under contract.
  • Your recipients — people you choose to send an invoice to receive the content of that invoice.
  • Legal — authorities where we are required by law or to protect our rights and users.

We never sell or rent your personal data to third parties.

5. Cookies

We use a small set of cookies. Strictly necessary cookies keep you signed in and secure your session; they cannot be turned off. We use privacy-respecting analytics to understand product usage in aggregate. We do not use advertising or cross-site tracking cookies. You can clear or block cookies in your browser, though some features may stop working.

6. Your rights

Depending on where you live, you may have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate or incomplete data.
  • Export your invoices and records in a portable format.
  • Delete your account and associated personal data.
  • Object to or restrict certain processing.

You can exercise most of these directly from your dashboard settings, or by contacting us. We respond to verified requests within 30 days.

7. Data retention

We keep your data for as long as your account is active. When you delete your account we remove your personal data and invoice content within 30 days, except where we are legally required to retain certain records — for example, tax and billing records, which may be kept for up to 7 years. Encrypted backups are purged on a rolling schedule.
